1. Who operates MailNexus
MailNexus is an independent application for managing connected Gmail accounts, mailbox activity, outreach leads and contacts, message templates, sending schedules, replies and returned-email (bounce) information. It is not operated by or affiliated with Google LLC.

2. Google permissions requested
When you choose to connect Gmail, MailNexus uses Google's OAuth flow and requests these scopes:
openid,emailandprofileto identify the Google account and read its basic profile information needed for account connection.https://www.googleapis.com/auth/gmail.modifyto provide the app's Gmail functions, which may include viewing mailbox messages and threads, synchronising Inbox and Spam data, sending/replying/forwarding messages, and performing supported message or label actions.
You can review Google's consent screen before granting access. Do not connect an account unless you are authorised to use it for these purposes.
3. Data we process
Depending on the features you enable or use, MailNexus may process:
- Google account email address, basic profile identifiers, OAuth permissions, access and refresh tokens, token expiry/status and connection errors.
- Email message metadata and, when needed for mailbox display or message features, message content such as sender/recipient addresses, subject, snippets/body text, dates, labels, read/star status and thread identifiers.
- Outreach leads and contacts you import or create, including names, email addresses, business, website and service information you provide.
- Email subjects and templates, scheduled-sending settings, recipient details, sent-message records, delivery/bounce information and operational logs used to run and troubleshoot the service.
- Basic browser-side state, such as your theme choice and dashboard preference flags. The dashboard stores its MailNexus API client key in this browser's local storage and keeps a local mailbox cache in your browser's IndexedDB database to help it load mailbox views.
Please avoid adding information to leads, contacts or message content that you do not have a lawful reason to process.
4. How we use Google user data
MailNexus uses Google user data only to provide and maintain the user-facing email functions you request or configure, including account connection, mailbox display and synchronisation, supported message actions, outreach sending, reply/bounce processing, and related security, reliability and troubleshooting.
- We do not sell Google user data.
- We do not use Google user data for advertising or to build advertising profiles.
- We do not use Google user data to train generalised AI or machine-learning models.
- We do not transfer Google user data for unrelated purposes. Any access or transfer is limited to operating the requested service, protecting security, complying with law, or actions you direct.
MailNexus's use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including its Limited Use requirements.
5. Where data is processed and stored
MailNexus runs on Cloudflare Workers and uses Cloudflare D1 for server-side application records. Depending on the features in use, account connection tokens, mailbox cache records, bounce records, leads, contacts, campaign settings and send/operational records may be stored in that database. The dashboard also stores a limited mailbox cache and preference/key state in your browser as described above.
MailNexus communicates with Google OAuth and Gmail API services to connect accounts and perform authorised Gmail operations. Gmail mailbox notifications may also be processed through Google Cloud Pub/Sub to keep mailbox state up to date. These providers process data as needed to supply their infrastructure and services.
6. Sharing and disclosures
MailNexus does not sell or rent personal information. Data may be processed by Google services and Cloudflare as necessary to provide the features you request. Data may also be disclosed where you direct us to do so, where required by applicable law or valid legal process, or where reasonably necessary to investigate abuse, protect users, or maintain service security.
We do not authorise service providers to use Google user data for their own advertising or unrelated purposes through MailNexus.
7. Retention, disconnection and deletion
Connected-account tokens and account-related records are kept while needed to operate the connection. The dashboard's local mailbox cache remains in your browser until it is refreshed or removed from that browser's site data.
Using MailNexus's account-disconnect/delete control removes the app's local OAuth account record and the related mailbox cache, watch state and saved bounce records for that account. It does not automatically delete every separate lead record, subject, template or historical send log. Use the available dashboard controls for data types they support, or email ikhan84100@gmail.com to request help with data deletion.
Disconnecting inside MailNexus removes the app's stored connection, but may not revoke the grant in your Google Account. To revoke Google's access as well, open your Google Account's third-party connections/security settings and remove MailNexus. Some records may be retained where necessary for security, legal obligations or service integrity.
8. Security
MailNexus uses HTTPS for web access and relies on access controls and the security features of its hosting providers. No system can be guaranteed completely secure. Keep your MailNexus API key private, use it only in a trusted browser, protect your Google account, and never send passwords, API keys, recovery codes or card information by email.
9. International processing
Cloud infrastructure and Google services may process information in countries other than where you live. Where applicable, processing and transfers are subject to the safeguards and legal requirements that apply to the service providers and your use of MailNexus.
10. Children's privacy
MailNexus is designed for professional email and outreach workflows, not for children. Do not use it to collect children's personal information unless you have a lawful basis and all required permissions.
11. Changes to this policy
This policy may be updated as MailNexus features, providers or legal requirements change. The “Last updated” date at the top will be revised when changes are published. Material changes should be reviewed before continuing to use the service.
